Terms & Conditions

These terms govern your use of this website and describe the ground rules on which THE π LAB provides its engineering services. Client engagements are additionally governed by the individual proposal or agreement we sign together — where those documents differ, the signed agreement wins.

Acceptance of these terms

By accessing this website, browsing its content or submitting information through it, you agree to these Terms & Conditions. If you do not agree, please discontinue use of the site — the door is never locked, but the house rules apply to everyone inside.

These terms may be revised from time to time. The revision published on this page at the time of your use is the one that applies, and material changes take the form of a new revision number and effective date in the document header.

T.02

The services

THE π LAB designs, builds and maintains custom software: web applications and platforms, AI and LLM-powered systems, workflow and business-process automation, APIs and internal tools, and data-driven products. The website showcases representative work and describes how we engage.

Nothing on this website constitutes a binding offer, a guarantee of specific results, or professional advice for your particular situation. Capabilities and case studies describe what we have done and how we work — the specifics of any engagement are defined in writing between us.

T.03

Proposals, scope & engagement

Every engagement starts with a written proposal that defines scope, deliverables, timeline, assumptions and price. Work outside that scope is handled through a documented change — we are engineers; we version things, including agreements.

A project becomes an engagement only when both parties have accepted the proposal in writing and any agreed deposit has been received. Verbal requests, hallway conversations and README comments are lovely but not contractual.

T.04

Client responsibilities

You agree to provide timely access to the people, systems, credentials and information we need to deliver — decisions, data, environments and feedback included. Projects are a two-player game, and schedules slip fastest when reviews wait.

You confirm that any materials you supply to us (content, data, brand assets, third-party licences) are yours to use and do not infringe the rights of others. If we are building against your systems, you confirm you are authorised to grant that access.

T.05

Fees, invoicing & payment

Fees, currencies and payment schedules are defined in the applicable proposal. Unless stated otherwise, invoices are due within fourteen (14) days of issue, and deposits are non-refundable once work has begun, because the work — discovery, architecture, scheduling — is real from day one.

Late payments may pause delivery and accrue interest as permitted by law. We will always talk before we stop the line; surprise stoppages help nobody.

T.06

Timelines & delays

We commit to the schedule in the proposal and we plan honestly — but software has physics. Timelines shift for many reasons, including third-party services, changed requirements and delayed feedback. When reality diverges from the plan, we tell you early, quantify the impact and propose options.

Neither party is liable for delays caused by events reasonably beyond its control. When such an event affects a deadline, the deadline moves by the affected duration, documented in writing.

T.07

Intellectual property

Upon full payment, you own the custom deliverables we specifically created for your engagement — the source code, designs and documentation produced for your project, as defined in the proposal. We keep our pre-existing tools, libraries, know-how and general techniques, and grant you whatever licence you need to use them inside the deliverables.

THE π LAB retains all rights in this website and its content, including text, design, code and the π mark. Case studies and references: we will only name you and describe your project with your permission, and we will respect any confidentiality terms we have signed.

T.08

Confidentiality

We treat everything you share with us — technical, commercial and personal — as confidential by default, use it only to deliver your work, and protect it with the same care described in our Privacy Policy.

Confidentiality survives the end of an engagement. The only exceptions are information that is public through no fault of ours, was already known to us, was received lawfully from a third party, or must be disclosed by law — in which case we tell you promptly where permitted.

T.09

Third-party materials & services

Modern systems stand on third-party components — frameworks, models, APIs, hosting and platforms. We select them professionally and pass their terms through to you where applicable; their availability, pricing and policies are ultimately controlled by their providers.

We are not liable for third-party outages, model behaviour changes or policy shifts beyond our control, but we will always help you respond: swap providers, patch integrations and adapt the system so it keeps earning.

T.10

Warranties & disclaimers

We warrant that services are performed with professional skill and care, and that deliverables will materially conform to the accepted proposal. Practical warranty periods for defect fixes are defined per engagement.

Beyond that, the website and our services are provided “as is”. To the maximum extent permitted by law we disclaim implied warranties of merchantability, fitness for a particular purpose and non-infringement. We do not promise that any third-party service will remain error-free or unchanged.

T.11

Limitation of liability

To the maximum extent permitted by law, THE π LAB's total liability arising out of or relating to an engagement is limited to the fees paid by you for that engagement in the twelve (12) months preceding the claim. Neither party is liable for indirect, incidental, special, consequential or punitive damages, including lost profits or lost data.

Nothing in these terms limits liability that cannot be limited by law — including liability for gross negligence, wilful misconduct or anything else the applicable law says must stay on the table.

T.12

Termination

Either party may terminate an engagement for convenience with the written notice defined in the proposal, or immediately for material breach that remains uncured after written notice. Work performed and costs committed up to termination remain payable.

On termination we deliver the work product completed to that point and, on request and at fair cost, support an orderly handover to you or a successor team. We do not believe in hostage-taking as a business model.

T.13

Governing law & disputes

These terms and any engagement are governed by the law specified in the applicable proposal or agreement. Absent a specified jurisdiction, the laws applicable at THE π LAB's principal place of business apply, without regard to conflict-of-law rules.

Before formal proceedings, both parties agree to attempt good-faith resolution — a call between decision-makers usually beats a courtroom. Formal disputes go to the competent courts of the governing jurisdiction.

T.14

Miscellaneous

If any provision of these terms is found unenforceable, the remainder stays in force and the unenforceable provision is replaced with the closest enforceable equivalent. These terms, together with the applicable proposal, form the entire agreement regarding their subject matter.

You may not assign an engagement without our written consent; we may not assign it in a way that degrades the service you receive. Notices under these terms are validly given by email to the addresses each party designates in writing.

T.15

Contact

Questions about these terms, a proposal in progress, or an active engagement: email hello@thepilab.in and reference your project or ticket number.

We keep a signed copy of every agreement on file. If anything in these terms conflicts with a signed agreement, the signed agreement prevails — that is the whole point of signing things.
